Job objectives/ Scope: This management position aims to manage the Procurement, supply chain and logistics support of the organization, oversee the supply chain strategy, logistics and procurement operations, and manage its team to ensure that best practices are carried out at the lowest cost, best quality and fastest time.

Reported to: Associate Executive Director of Finance and Operation


Duties and Responsibilities:

-Administrative organization and management:

General supervision, follow-up and support for all employees of this unit (procurement, logistics, contracts, stores, security and safety)

•Implement a sustainable and robust procurement and logistics system to efficiently and effectively provide logistical and procurement support to all organizational support programs and services.

•Supervise the control and proper operation of all procurement and logistics requirements for the organization's programs.

•Where appropriate, identify and introduce new procurement procedures and enhance existing practices to ensure efficient, timely and compliant supply of all items.

•Liaise and collaborate with senior management team and program managers on logistics and procurement matters.

•Provide procurement support to programs, including through input into proposals and participation in start-up meetings; contribute to donor proposals, budgets and reports, as appropriate.

•Attend internal strategic and planning meetings when required.

•Represent ADO to bidders, potential suppliers, NGOs and other donors.

•Develop relevant management procedures within the team; improve the flow of information within the department and with other departments and projects

•Ensure a proper logistics structure for the logistics and procurement department, with a clear definition of roles, responsibilities, tasks and action plans.

•Provide recommendations and technical support to field offices for recruitment, including drafting conditions and terms.

•Ensure adherence to ADO's code of conduct within the logistics and procurement function and assist procurement and logistics staff to ensure compliance with supply chain management rules and ethics.

•Full responsibility for any procurement process in the organization from the purchase order until the receipt and inspection of materials and disclaimer with suppliers.

•Update the list of suppliers periodically and according to the requirements and work on the verification process (completion of legal documents - nonexistence in the black lists, Vitting / Screening check) of any supplier that is contracted or purchased from.


Team Management:

•Provide technical support and supervision to procurement/logistics teams in branches and the field.

•Organize a briefing for all new employees on logistics and procurement.

•Assist in the development and implementation of procurement plans with various program managers

•Coordinate the conduct of market studies necessary to manage and comply with procurement requirements.

•Oversee the preparation and maintenance of a database of local suppliers (list of suppliers approved by ADO), clarifying the standards of quality, price, service, ethics, etc.

•Undertake centralized procurement at the request of field offices – ensure that procurement and logistics conditions are in place in each field office for proper planning, implementation and follow-up of the supply chain

•Verify compliance with the request for quotation procedures

•Responsible for coordinating and respecting the procurement procedures.

•Provide support in drafting exceptions; coordinate exceptions that apply to multiple field offices.


Training/Capacity Building:

Identify needs and ensure training and capacity building for logistics and procurement team members in order to increase the level of technical ability and skills within the department.

•Organize and deliver basic awareness meetings/training in procurement/logistics based on the needs.

•Coordinate and adapt the training process, including the identification of needs.

•Provide technical support and supervision to field offices in warehouse management.

•Supervise the proper management of warehouses and ensure the implementation of ADO standard warehouse management procedures to operate all its warehouses.

•Responsible for disseminating rules, tools and documents and ensuring compliance with safeguarding principles.


Logistics and Procurement :

•Responsible for the procurement and management of contracts for purchasing goods and services from contractors and service providers (consultants, builders, drivers, professionals, etc.).

•Review all contracts in the Logistics and Procurement Unit.

•Legal review of all contracts in the Logistics and Procurement Unit

•Follow-up contracts and register them in the ERP system.

•Comply with all ADO contracting policies and regulations.

•Monitor infrastructure maintenance and inventory management activities in accordance with ADO's procurement policies and procedures.

•Ensure that facilities are examined and followed up under the supervision of the direct manager through daily follow-up of facilities and reporting any anomalies or problems.

•Assess rehabilitation needs and follow up the rehabilitation work of secondary facilities in accordance with the instructions of the line supervisor; verify that the facilities comply with security standards and monitor the consumption of vehicles/machinery/mechanical and electrical devices according to the procedures prepared for this.

•Follow up and solve the problems of all logistics and daily purchases.

•Attend the meetings of the clusters for procurement and logistics and submit reports to the direct manager and senior management.

•Plan with the line manager regarding the necessary inspection and maintenance of power systems/setup in accordance with ADO standards.

•Coordinate and lead the procurement and logistics team under his/her responsibility which includes day-to-day supervision, monitoring the quality of work and defining each Employee’s task, setting their own work schedules; organizing and leading team meetings; participating in the appointment of team members, attending logistics meetings and accounting for their activities.

•Prepare tender documents for the purchase of materials and request proposals for the selection of consultants.

•Ensure the maintenance of the vehicle fleet including planning and supervising the timely preventive and remedial maintenance of all project vehicles in accordance with ADO's standards and directing and monitoring drivers on correct driving habits and standard checks.

•Direct, train and participate in the implementation of their important, complex tasks and solve work problems.

•Manage and follow up orders that include all logistics orders coming from various departments; prepare and follow up orders in accordance with established procedures, carry out local procurement operations in accordance with ADO procedures and policies and ensure the conditions for receiving shipping or incoming materials as well as organize and prepare materials before they are shipped.

•Contribute to the training and support of the logistics team on writing and reporting on procurement, vehicle movement and information technology and submitting them on a monthly basis in accordance with ADO's procedures.

•Assist the Operations Manager to establish and maintain collaborative relationships with suppliers, programs, finance, HR and Management.

•Continuously save, update and maintain documents, records, files and reports related to his/her work.

•Evaluate employees under his/her management periodically.

•Prepare the monthly report and deliver it to his/her line manager.

•Perform any other tasks assigned to him /her by the line manager.


Stores and Warehouses Department:

Provide technical support and supervision to field offices in warehouse management.

•Supervise the proper management of warehouses and ensure the implementation of ADO standard warehouse management procedures to operate all its warehouses.

•Responsible for disseminating rules, tools and documents and ensuring compliance.


Transportation:

•Responsible for the transfer of supplies from the Office of General Management to the field /branch offices.

•Establish the rules regarding transportation and remain responsible for compliance.

•Provide technical support in the field of transportation.-

Experience and Qualifications:

  1. Bachelor's degree or higher advanced degree in logistics and procurement, supply chain management or similar related fields.
  2. At least 5 years of procurement , supply chain and logistics experience or a similar role preferably in the humanitarian field.
  3. Experience in logistics management and coordination in supply chain management (procurement, tendering, contracting, clearance, transportation, warehousing, etc.), fleet/transportation management, asset management and distribution support.
  4. Strong knowledge of donor guidelines and procedures .
  5. Fluency in spoken and written English

Position Overview:

The pharmacist will be responsible for controlling and supervising all medical and non-medical supplies within the project. This will include receiving the supplies from Logistic department at the level of warehouse, dispatching to targeted health facilities and districts warehouses from the central warehouse, controlling daily usage\ prescription\distribution of these supplies at the level of targeted health facilities. The pharmacist will be reporting to the Senior H/N Officer keeping him updated regarding supplies stock all over the project duration. He \ She will be managing the central warehouse and supervising the targeted health facilities pharmacists.


Job Objective/ Scope

The pharmacist will be overall responsible for project pharmaceuticals management in ADO WHs and supported HFs. He/She will supervise the field pharmacists in HFs and provide technical support in proper pharmaceutical storage. He/She will conduct regular inventory for all medical and non-medical supplies and raise report.

Duties and Responsibilities and wight

  1. Ensure adherence to the health cluster\ WHO and ADO standards regarding drugs prescription control and rational Antibiotics usage.
  2. Design clear guidelines for field health facilities’ pharmacists regarding supplies storage and distribution as per the health cluster\ ADO standards and provide them with the proper related technical support when needed.
  3. Supervise the receipt of all medications, laboratory kits, solutions, disposable instruments and other medical and non-medical supplies related to the project from logistic department to ADO warehouse
  4. Ensure keeping all the medical and non-medical supplies in ADO warehouses in its proper storage conditions to prevent occurrence of any damage or loss.
  5. Design a detailed dispatch plan for the medical and non-medical supplies based on the actual project supplies quantity, actual field needs and project duration.
  6. Ensure availability of buffer stock of essential items all over the project duration to prevent any interruption in services provision.
  7. Deliver medical and non-medical supplies to the field health facilities on monthly basis as per the approved supply plan.
  8. Precise recording of all supplies receipt \ dispatch using ADO formal records and documents.
  9. Track all medical and non-medical supplies using well designed tracking tools from ADO warehouses to the end beneficiaries, with regular check of health facilities records to verify the tracked data.
  10. Receive health facilities daily reports, review, verify and reflect them to the master tracking sheet ensuring strict follow up of field distribution of supplies and proper data archiving throughout the project duration.
  11. Report to the line supervisor on a daily, weekly, biweekly and monthly manner on the supplies movement and stock balance using both statistical and narrative reports.
  12. Conduct regular \ spot check and inventories on health facilities \ warehouses stocks and records to verify the reported data and ensure implementation of standards in storage and prescription processes.
  13. Ensure smooth and proper archiving mechanism for the drugs disbursing documents for the whole project period.
  14. Comply with ADO policies and procedures with respect to code of conduct, child protection, equal opportunities, security and safety, and other relevant policies and procedures.

Position Overview:    Ensures general warehousing activities are carried out correctly in line with established system, takes ultimate responsibility for inventory and ensuring the safety of all stored materials.

Duties and Responsibilities

·      Receiving and sending all items including medical items.

·      Submitting reports on the quality and quantities of materials received and ensuring that the quantities disbursed conform to the documents and are identical to the quantities received to the Logistics officer.

·      Stamping and signing on the receipts and dispatches after verifying the completion of the delivery and dispatching process.

·      Maintaining clean and pest-free storage conditions.

·      Ensuring the quality of the storage environment and complying to ADO SOPs.

·      Ensure the preservation of all items stored inside the warehouse.

·      Monitor the warehouse temperature to avoid spoilage of any medicine or items.

Job objectives/ Scope : The Nutrition Project Officer is responsible for overseeing the implementation of nutrition project activities as part of an integrated approach to improve the nutritional status of children (aged 6-59 months) and pregnant and lactating women (PLW) in targeted areas. This role involves community-based identification, treatment of Moderate Acute Malnutrition (MAM), as well as the promotion of Infant and Young Child Feeding (IYCF) practices. The Nutrition Project Officer will provide training, supervision, and assistance to nutrition field staff to ensure the delivery of high-quality health care and nutrition services to beneficiaries. Collaboration with various stakeholders, including the Project Manager, program staff, Ministry of Health personnel, local authorities, and community members, is essential to address nutrition-related challenges in the targeted communities.

The duties and responsibilities of a Nutrition Officer:

1. Nutrition Program Implementation:

-Develop and oversee the implementation of the nutrition component of the project.

-Coordinate with project management, IYCF officer, and health teams to integrate nutrition into the overall project strategy.

2. Nutrition Assessment and Monitoring:

Position Overview:    Follow-up and ensure best government, authorities relationship Support to management, project and office staff are provided with respect to timeline, sensitivity. Complying with the highest ethical and integrity and ethics.

Duties and Responsibilities

General tasks and duties:

1.    Being fully responsible for security and protecting the organization’s assets from theft.

2.    Following up on providing transportation for all employees in the organization.

3.    Following up on providing transportation for all tasks for all departments during and outside official working hours.

4.    Informing the Supply Chain and Logistics Managerof the requirements of the relevant authorities in coordination with the programs, branches, and the Executive Director, regarding the organization’s activities/development/humanitarian activities.

5.    Creating an effective procedures matrix to address outstanding issues with the authorities in coordination with the Branch/Office Manager and the Finance and Partnerships Manager.

6.    Working with branch offices to find positive solutions to challenges. Updating the procedures matrix periodically and informing the Supply Chain and Logistics Manager about the extent of progress achieved, and highlighting the security issues that need immediate resolution.

7.    Participate in follow-up meetings with the relevant authorities and technical colleagues when necessary, in coordination with the Supply Chain and Logistics Manager.

8.    Regularly informing the current security situation, especially regarding changes in protocols that could affect the organization’s programs in Yemen and the region.

9.    Coordinating and following up on the process of obtaining visas when needed (entry, exit, exit and re-entry, residence, work permit...), visa renewal, extension and cancellation and ensuring their completion in a timely manner.

10. Following up on travel permits with the relevant authorities and notify the relevant employees upon receipt.

11. Maintaining a good archiving system for visas and travel permits.

12. Conducting a continuous and dynamic assessment of the risks at the general level of the situation in Yemen and the organization’s areas of work.

Job objectives/ Scop: The Case Management Officer will play a crucial role in our Reducing Illness, Violence, and Abuse through Systematic Empowerment (RISE) project. This position is instrumental in leading the delivery of effective and confidential case management services aimed at providing protection to the most vulnerable women and children in Yemen, particularly those at risk of or survivors of gender-based violence (GBV). Working in conjunction with local health facilities, legal entities, and social services, the Case Management Officer will ensure that services are delivered in a survivor-centered, respectful, and confidential manner, aligning with both national guidelines and international best practices.

1.        Assessment and Evaluation:

•Conduct comprehensive assessments of survivors' strengths, needs, and preferences through interviews, screenings, and evaluations based on WOMEN PROTECTION (GBV)case management guidelines and SOPs.

•Gather relevant information from survivors, related affected family members, caregivers, and other stakeholders to develop a holistic understanding of their situation related to WOMEN PROTECTION (GBV)issues.

•Identify potential risks, barriers, and challenges that may impact survivors well-being and ability to achieve desired outcomes, taking into account targeted locations context .

2.        Service Delivery and Case Management:

•Lead the development and implementation of case management protocols and services, focusing on WOMEN PROTECTION (GBV)survivors, evaluations based on WOMEN PROTECTION (GBV)case management guidelines and SOPs.

•Ensure that case management services are delivered according to international standards and are culturally and contextually appropriate.

•Manage cases directly when required, ensuring a supportive, confidential, and empowering environment for survivors.

•Regularly review and adapt case management practices based on feedback from service users and changes in the local context.

3.        Team Leadership and Development:
